Terms of Service
Welcome to Airport Run. These Terms of Service ("Terms") govern your access to and use of our taxi and limousine transportation services, our website (www.airportrun.ca), and any related booking platforms. By accessing our platform or using our services, you agree to be bound by these Terms. If you do not agree to these Terms, please do not use our services.
1. Service provision & licensing
Airport Run operates as a licensed Vehicle-for-Hire (VFH) service in the Province of Ontario. We provide local transportation and airport transfer services primarily within Bowmanville, the Regional Municipality of Durham and the Greater Toronto Area (GTA), plus airport transfers from towns across Ontario. All of our drivers are fully licensed, and all vehicles meet or exceed provincial insurance and safety standards.
2. Booking, fares, and payments
We pride ourselves on transparent, distance-based pricing to ensure a fair experience for all riders:
- Flat-rate pricing: Fares are calculated based on the total driving distance between the pickup and drop-off locations at the time of booking.
- Vehicle rates: Fares are calculated from the driving distance as a base fare of $3.96 plus $1.36 per kilometer for a Midsize SUV, $1.53 per kilometer for a Full Size SUV or $1.75 per kilometer for a Mini Van, for the first 150 km, HST included, as is every price we quote. Beyond 150 km, tiered per-kilometer rates apply that change with the distance. A remote dispatch fee based on the distance from our base to your pickup may also apply, and a minimum fare of $50 (HST included) applies. Your online quote shows the exact fare for your trip, including these items, before you book, and the quoted price is the price you pay. Published rates may change over time and do not change a quote you have already accepted.
- Quotes: The quoted price generated by our online booking system is the final price for the requested route. Optional extras you choose when booking (extra stops, the 407 ETR toll, a dog clean-up fee) are shown in your quote. Detours, additional stops, or significant passenger delays requested after the booking is confirmed may result in additional charges.
- Waiting time: Home and other non-airport pickups include up to 30 minutes of free waiting after the scheduled time. Airport pickups are flight-tracked: your driver can pick you up at no extra charge any time up to 2 hours after your flight actually lands.
- West-side trips: When this rule is in effect, a pickup about 70 km or more from Toronto Pearson on the west side (including Niagara, Barrie and Georgian Bay; not Durham Region or points east) must be booked at least 24 hours in advance. A drop-off there does not need the extra notice.
- PIN check: Every trip starts with a PIN check between you and your driver once both have been confirmed, so you get into the right car.
- Car seats and airport help: Child car seats (newborn, toddler or booster, up to 2 per booking) are free in any vehicle when chosen at booking, at least 24 hours before pickup. Help from our local staff inside the airport is available on request and must be arranged in advance.
- Payments: Fares are paid online by card at booking. Fares must be paid in full according to the terms outlined in your booking confirmation.
3. Cancellations & no-shows
To maintain our reliable dispatch schedule, we enforce the following cancellation policy:
- No cash refunds: Fares are not refunded. Instead, a cancellation made at least 24 hours before the scheduled pickup time turns the full amount paid into ride credit, valid for 12 months.
- Airline cancellations: If the airline cancels or reschedules your flight, the full amount paid becomes ride credit at any time — just send us the airline's notice.
- Date or time changes: A change to the pickup date or time costs 15% of the ride total before discounts, subject to availability.
- Late cancellations and last-minute changes: Cancellations or changes made less than 24 hours before the scheduled pickup time receive no refund and no credit.
- No-shows: If a driver arrives at the pickup location and the passenger fails to appear within the free waiting time (30 minutes after the scheduled time for non-airport pickups, or 2 hours after the flight actually lands for airport pickups) without contacting Airport Run, the booking is a "No-Show": the full quoted fare applies, with no refund or credit. Unpaid bookings that no-show may be asked to prepay online for future rides.
4. Passenger conduct & vehicle policies
To ensure a safe, comfortable environment for both passengers and drivers, all riders must adhere to the following rules, in accordance with Ontario VFH regulations:
- Seatbelts: Under Ontario law, all passengers must wear a seatbelt at all times while the vehicle is in motion.
- Smoking & vaping: Smoking, vaping, and the use of e-cigarettes are strictly prohibited inside all Airport Run vehicles.
- Alcohol & substances: The consumption of alcohol or illegal substances inside the vehicle is strictly prohibited by law. Open containers of alcohol are not permitted in the passenger cabin.
- Damage & cleaning: Passengers are responsible for any damage to the vehicle interior or exterior caused by negligence, bodily fluids, or misuse. A minimum cleaning fee of $150.00 CAD will be applied if professional cleaning is required.
- Zero tolerance: Airport Run has a zero-tolerance policy for abuse, harassment, or threatening behavior directed at our drivers. Drivers reserve the right to refuse service or terminate a ride immediately if a passenger is abusive or poses a safety risk.
5. Liability limitations
While we work hard to arrive on time, Airport Run is not liable in the event of delays caused by circumstances beyond our control. These include, but are not limited to: severe weather conditions, unexpected traffic congestion, road closures, accidents, or acts of God.
We are not responsible for missed flights, missed appointments, or any resulting financial losses due to delays. We strongly recommend booking your airport transfer with sufficient buffer time.
Airport Run is not responsible for personal items left in our vehicles. If you believe you have left an item behind, please contact our dispatch team immediately, and we will make every reasonable effort to locate and return the item.
6. Privacy & data collection
By using our services, you consent to the collection and use of your personal data (such as name, phone number, email address, and location data via our Mapbox tracking system) for the purpose of fulfilling your booking. For more detailed information on how we handle your data, please review our Privacy Policy.
